Salary is restricted to above range and will not exceed the maximum of the range. Salary offers are non negotiable and offers are determined and are based upon related work experience submitted on resume.

 Summary

Provides administrative, operational and technical support to the program director in day-to-day delivery of manufacturing technology related programming. Duties include, but are not limited to:  student reporting, planning of department activities and events, data entry and record keeping.  This individual is responsible for coordinating the daily tasks required to support high-quality training programs including data tracking and reporting, production of materials related to instruction and development of program activities to support students and instructors. Performs duties with a minimum amount of supervision and a maximum amount of good judgment.  Reports to the Program Director and the Dean of Employer Engagement and Community and Technical Education.

Essential Duties and Responsibilities

  • Support registration and onboarding of new advanced manufacturing student for the traditional mechatronics programs (TC-107)
  • Support the mobile manufacturing lab program which now consists of (3) mobile labs. Registration of the cohorts, attendance and progress spreadsheets, client host responsibilities including coordination with the on-site HR training manager.
  • Support special cohorts including our registered pre-apprentice programs – Certified Production Technician Plus and Mechatronics Pre-RA. This includes everything previously mentioned plus registering and updating the students with Labor and Industry in Harrisburg.
  • Handle all “back room” functions associated with advanced manufacturing programs including maintenance of Google Drives, preparing Certificates of Completion and Articulation Agreements for graduates, monthly billings for per diem clients, issuing Amatrol licenses to new and continuing students.
  • Assists with all requests via e-mail, phone and in person to ensure that a professional and competent image is portrayed to Program clients and general community.
  • Works with corporate clients and program coordinators/trainers to coordinate training schedules and material requirements, duplication, catering, room assignments and program needs.
  • Performs coordination duties to ensure smooth office operation and accurate record keeping in compliance with college and client reporting and student tracking/reporting needs.
  • Uses intermediate level MS Word, EXCEL and PowerPoint to ensure accurate and timely reporting, creation of professional publications, and development of public presentations.
  • Manages calendar for Program team – coordinates and plans meetings, team events, and student testing schedules.
  • Monitors inventory of Program supplies and needs and/or orders as needed to support team activity.
  • Maintains master file of all Program documents.
  • Issues internal invoices to finance team for all Program training related expenses and contracts including invoicing.
  • Manages financial responsibilities including requests for purchasing, external invoices, and Program’s student per diem.
  • Assists with Program’s budget development.
  • Maintain student tracking and performance records for client and the college.
  • Maintain enrollment records on a rolling basis and assists instructors in entry of records in corporate designed systems.
  • Prepare support materials for delivering the Program in the classroom and lab.
  • Performs other duties as may be assigned 

Qualifications:

Required

Education

  • Associate degree from an accredited institution.
  • Foreign degrees – must provide a US equivalency report of your degree credentials with your transcript, if not, your resume will not be accepted.

Certifications

  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)

     Work Experience

  • Three years’ experience in support of a manager or director level position or team is essential.
  • Must have exceptional organizational skills.
  • Demonstrated ability with project management skills.

  • Excellent written and oral communication skills.
  • Keyboarding and computer skills required.
  • Willingness to work varied and flexible hours.
  • Good judgment and critical thinking skills necessary.
