Salary Ranges

$16.75 - $21.73
Salary is restricted to above range and will not exceed the maximum of the range. Salary offers are non negotiable and offers are determined and are based upon related work experience submitted on resume.

The IT Office Assistant is responsible for clerical management for the information technology department. Primary responsibilities will be all purchasing, ordering, and expense tracking in support of the IT department.  This position will report directly to the Chief Information Officer.

Essential Duties and Responsibilities

  • Processes departmental expenditures including purchase requisitions, purchase orders, credit card transactions, contracts, and invoices.
  • Processes employee travel requests and reimbursements.
  • Assists with procurement of supplies.
  • Prepares employee expense reports and purchasing card monthly submissions for department staff members
  • Identifies and refers budget discrepancies to appropriate director and resolves as appropriate.
  • Performs typing, word processing, filing, forms processing, other clerical functions for the IT department.
  • Records and distributes minutes of meetings.
  • Prepares, composes, and initiates correspondence, memoranda, presentation material and reports.
  • Organizes and prioritizes workload to meet deadlines.
  • Schedules meetings and assists with special functions and events as needed.
  • Coordinates meeting arrangements for departmental personnel, committees, and, as needed, external consultants.
  • Performs other duties as assigned.

Qualifications

Required:

Education

  • High school degree or equivalent required.
  • Foreign degrees – must provide a US equivalency report of your degree credentials with your transcript, if not, your resume will not be accepted.

Certifications

  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)

Work Experience

  • Minimum of two-years’ secretarial/clerical experience in office setting.
  • Must have demonstrated typing, filing and office skills.
  • Must be computer literate and have experience using electronic forms and MS Office Software.

Knowledge, Skills, Abilities

  • Must have strong customer service and communication skills.
  • Ability to work under pressure and work flexible hours.

Recommended Soft Skills

  • Must possess a high level of the following work skills and behaviors: teamwork/cooperation, initiative, customer service, and commitment to continuous professional growth in skills and knowledge.

Preferred:

  • Associate degree in business, accounting, or related field preferred.
  • Experience working with accounting software systems and/or Ellucian Banner preferred.
  • Bi-lingual (Spanish)

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.  The employee may regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by this job include close vision and distance vision.
